The Illinois Electronic Pay Stub System (EPASS) is a secure, web-based platform that enables employees to view their pay stubs electronically. With advanced features like SSL (Secure Socket Layer) encryption and password management, EPASS safeguards sensitive information. It provides access to current and previous pay stubs online, eliminating the need for paper stubs and streamlining the payroll process for various agencies and boards under the Office of the Governor.
How can employees access their pay stubs using EPASS?
Accessing pay stubs through EPASS is a straightforward process. Employees must visit the EPASS website and enter their identification credentials. Upon successful login, they can view encrypted pay stub information, including a partially masked Social Security number for added security. This system is designed to be accessible from any internet-enabled computer, offering convenience and flexibility.
What are the main benefits of using EPASS?
EPASS offers a variety of benefits, including increased security, convenience, and ease of use for both employees and payroll administrators. It allows for 24/7 access to pay stub information, reduces the environmental and financial costs associated with paper stubs, and improves operational efficiency and employee satisfaction by streamlining the payroll process.
Who can use EPASS?
The system is designed for employees and payroll administrators of agencies, boards, and commissions under the Office of the Governor. Payroll administrators are granted special access and capabilities within EPASS to manage pay stub information securely and efficiently.
What are the requirements to enroll in EPASS?
Enrollment in EPASS requires the completion of several steps, starting with an Agency Memo of Understanding. Additionally, agency payroll administrators need to be identified, and both the administrator and employees must have access to the internet and an Active Directory Illinois.gov account or an account within a domain trusted by the Illinois.gov domain.
How does EPASS secure payroll data?
EPASS uses SSL encryption and a password management system to protect payroll data. Sensitive information is stored securely, and employees' Social Security numbers are only displayed in a partially masked format to ensure privacy and security.
Can payroll administrators view pay stubs for multiple agencies?
In cases involving Shared Services Centers, payroll administrators may be authorized to access and manage pay stub information for more than one agency. This flexibility allows for efficient management of payroll services across different areas of the government.

Filling out the Illinois EPass form correctly is crucial for employees to receive their pay stub information electronically without hassle. However, some common mistakes can hinder this process. Here’s a look at nine mistakes to avoid:
Not using a secure internet connection when accessing and submitting the EPass form poses a risk to your sensitive information.
Failing to check for and correct typographical errors in identification credentials can lead to access issues.
Overlooking the requirement for payroll data to reside with the Office of the Comptroller can invalidate your submission.
Using an incorrect or outdated web browser that is not compatible with the EPASS system can prevent successful form submission and access to pay stub information.
Skipping the verification of the last four digits of your Social Security number can lead to inaccuracies in your pay stub information.
Neglecting to complete the Agency Memo of Understanding properly can delay the implementation of electronic pay stub distribution for your agency.
Inputting incorrect contact information for the Agency Contact/Liaison or Payroll Administrator(s) can cause communication delays or miscommunications.
Forgetting to list a backup Payroll Administrator, which is crucial for ensuring continuous access and management of pay stub information in the absence of the primary administrator.
Not utilizing the print function judiciously. While EPASS promotes a paperless environment, printing unnecessary copies of pay stubs contradicts the system’s cost-saving and environmental benefits.
By avoiding these mistakes, employees and administrators can ensure a smooth transition to and use of Illinois’ Electronic Pay Stub System (EPASS), leveraging its full array of features and benefits for a more efficient payroll process.
